Adding a new client
In TheBooks.tax, a client is a workspace. Each client's books live in their own workspace, separate from yours and from each other, all under your login. See Workspaces for how workspaces work in general.
1. Create the workspace
- Click the workspace dropdown at the top of the sidebar
- Click Add workspace
- Enter the client's name and click Create
That's the whole setup. You are switched into the new workspace straight away, and it is ready to use: you can import transactions, set up categories, run reconciliations and build reports without paying anything.
Use the same dropdown to switch between clients at any time.
2. Decide whether it needs a subscription
Billing is per workspace, and the only thing a subscription buys is connecting a bank so transactions pull in automatically. Everything else is free. See Pricing.
So a client workspace only needs a subscription if you want their bank connected. If you are importing their statements by CSV, or entering transactions by hand, the workspace stays free for as long as you use it that way.
You can decide later. Nothing is locked in the meantime, and the option is always there on the workspace settings page.
3. Connect their bank
Open the Banks page and click Add bank. If the workspace has no subscription yet the button is disabled, and the page links you to the Plan card on workspace settings to buy one.
Custom accounts and CSV import stay available whether or not there is a subscription, so you can start on a client's books before any billing is arranged.
Managing several clients
If you keep books for a number of clients and would rather have one arrangement with us than a subscription per workspace, see Partner accounts.
